Greetings CCRMA users!

I am thrilled to announce several long-awaited upgrades to CCRMA’s various
special “closets”:

1. Keycards!  The Adapter Closet

<https://ccrma.stanford.edu/docs/common/Gear-Closet.html>, and even the
upstairs server room (aka SLOrk closet) all now have new keycard readers
that Nette (and I) can program to enable any particular trusted CCRMA
user's keycard.  (We therefore expect to retire the notion of “AA” keys.)

2. Gear Closet reorganization!  Joudi has done a lot of work over the
summer rearranging the gear closet, including finding cases for almost
everything, spray painting all the Gear Closet items’ cases with a
stenciled yellow “CCRMA” logo, helping me let go of some unpopular vintage
items, and "Tetris

everything back onto the shelves logically.

3. The nerdiest by far: a new checkout system for the Gear Closet.  You may
recall the black three-ring binder that was stored outside the door for
writing down loans and returns.  In its place we have a new system:

- Fully online (and unfortunately fully Google-dependent)

- Each item is known by its GeaR Identification Number, or GRIN for short
(a low positive integer often related to the item number, for example
GRIN=58 refers to a Shure SM58 microphone)

- Each item is in a case with a tag/label (shown below) that includes the
QR code you scan to borrow or return that item (completely self-serve, as
always).

- The QR code encodes the URL of a Google Form
<https://forms.gle/QhnwESFRpMkY7pmr5> that is “partially filled” with this
item’s GRIN

- Access to the online system is restricted to people who can authenticate
to Google with their @stanford.edu credentials, i.e., anyone with an active
SUNet ID.  (Yes, this is orders of magnitude more people than the number
who have PHYSICAL access to unlock the door.  We are trusting
Stanford’s Fundamental
Standard

to
protect us from trolls submitting fraudulent borrow/return transactions
(that record their SUNet IDs).  Also it gives us a unique user ID so we
know it’s YOU returning the item YOU borrowed.)

- Therefore anybody at Stanford should be able to view the inventory

 including
not just the number *owned* by the Gear Closet, but also the number
*currently* believed to be located there available for checkout (updating
automatically as people submit the borrow/return form).

- If you are currently borrowing anything from the Gear Closet that doesn’t
yet have this new kind of tag (with the QR code), please return it
in-person to Joudi or CCRMA staff (so we can print/laminate/attach a new
tag); don’t just put it back in the Gear Closet.
